TERMS AND CONDITIONS

These Terms and Conditions (“Agreement”) govern all services provided by Big R Bookkeeping (“we,” “us,” or “our”). By purchasing, accessing, or using our services, you (“Client”) agree to be bound by the terms outlined below.

1. Scope of Services

Big R Bookkeeping provides bookkeeping and administrative support services for small businesses, contractors, and service-based companies. Services may include, but are not limited to: transaction categorization, account reconciliation, expense tracking, invoice and bill management, accounts payable/receivable tracking, payroll coordination support, financial reporting, and bookkeeping system setup or cleanup.

The specific scope, pricing, and deliverables are defined in each client’s written proposal, service agreement, or onboarding documentation. Any work outside the agreed scope may require additional fees and written approval.

2. Billing, Payments, and Refund Policy

All services are billed in advance on a monthly or project basis unless otherwise stated in writing. Payments are processed through a secure third-party payment processor and may be set to automatically renew each billing cycle.

Due to the customized, time-based, and service-rendered nature of bookkeeping work, all payments are final and non-refundable once services for the billing period have begun. Failure to submit payment may result in immediate suspension of services until the account is brought current. We reserve the right to terminate services for non-payment.

3. Client Responsibilities

Clients are solely responsible for:

Providing accurate, complete, and timely financial data

Granting appropriate access to accounting software, bank feeds, and supporting documentation

Reviewing reports for accuracy and notifying us promptly of discrepancies

Big R Bookkeeping is not responsible for errors, penalties, interest, missed deadlines, or compliance issues resulting from inaccurate, incomplete, or delayed information provided by the Client.

4. Accounting Software & System Access

Clients authorize Big R Bookkeeping to access accounting platforms such as QuickBooks, Xero, payroll software, banks, and related tools strictly for the purpose of performing contracted services.

Clients remain the owner of all accounts and credentials. We are not responsible for system outages, software errors, data sync issues, or third-party platform failures beyond our control.

5. Payroll Services Disclaimer

If payroll-related assistance is provided, Big R Bookkeeping acts solely in an administrative and coordination capacity. We do not guarantee payroll tax accuracy, filings, or compliance unless explicitly stated in writing. Clients remain fully responsible for employee classification, wage compliance, payroll tax payments, and filings with federal, state, and local agencies.

6. No Tax or Legal Advice

Big R Bookkeeping is not a CPA firm and does not provide tax, audit, or legal advice unless explicitly stated in writing. Any guidance provided is for informational and bookkeeping purposes only. Clients are responsible for consulting licensed tax professionals, CPAs, or attorneys regarding tax filings, audits, compliance, and financial decisions.

7. Subcontractors and Third Parties

We may use subcontractors or third-party service providers to assist in delivering services. Big R Bookkeeping remains responsible for managing service delivery but is not liable for delays, errors, or interruptions caused by third-party platforms, banks, payroll providers, software vendors, or government agencies.

8. Service Fulfillment & Support

Services are considered rendered once bookkeeping work, reports, reconciliations, or system updates have been completed and made available to the Client. Ongoing support is provided only while the account remains active and in good standing.

9. Chargebacks, Disputes, and Collections

Chargebacks or payment disputes for services already rendered are strictly prohibited and constitute a material breach of this Agreement. Big R Bookkeeping reserves the right to pursue collection of unpaid balances, including administrative costs, collection fees, and legal expenses.

10. Communications Consent

By engaging our services, you consent to receive service-related communications via email and SMS, including billing notices, document requests, reminders, and account updates. Message frequency may vary. Standard message and data rates may apply. You may opt out of SMS messages at any time by replying STOP.

11. Data Privacy & Confidentiality

We collect and process client data in accordance with applicable privacy laws. Client information is used solely to provide bookkeeping services and is not sold or disclosed to third parties except as required to deliver services or comply with legal obligations. Clients are responsible for maintaining secure access credentials.

12. Limitation of Liability

To the maximum extent permitted by law, Big R Bookkeeping shall not be liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, tax penalties, or business interruptions. Our total liability shall not exceed the fees paid by the Client in the three (3) months preceding the claim.

13. Indemnification

Client agrees to indemnify and hold harmless Big R Bookkeeping from any claims, damages, penalties, losses, or expenses arising from inaccurate data provided by the Client, misuse of reports, or failure to comply with applicable laws.

14. Termination

Either party may terminate services with written notice, subject to the terms of the active billing cycle. No refunds will be issued for unused time. Upon termination, access to systems and ongoing work will cease.

15. Modifications

These Terms and Conditions may be updated at any time without prior notice. Continued use of services constitutes acceptance of the most current version.

16. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the state in which Big R Bookkeeping operates.
